Refund Policy

We put our hearts into creating meaningful experiences, and we know that booking a retreat or event is a real commitment. Our refund policy is designed to be as clear and fair as possible — for you and for us. Please read it before booking, and reach out if you have any questions.
1. Scope of This Policy
This policy applies to all paid bookings for retreats, workshops, day events, and other services offered by Heart of Santosha. It covers deposits, full payments, and partial payments made through our website or directly.
2. Deposits
A non-refundable deposit is required to confirm your booking. The deposit amount is listed on each individual event page.
Standard deposit amounts:
• €100 EUR
• ฿3,500 THB
Some events may carry a different deposit — always check the event listing for the specific amount.
Deposits are non-refundable under all circumstances. They cover the administrative, planning, and preparation costs we incur from the moment your booking is confirmed. By paying your deposit, you are reserving your place and acknowledging these costs.
3. Refund Schedule
If you need to cancel your booking, the following terms apply based on how far in advance you cancel:
More than 2 weeks before the event
Full refund of all amounts paid, minus the non-refundable deposit.
Between 1 and 2 weeks before the event
50% refund of all amounts paid, minus the non-refundable deposit.
Less than 1 week before the event
No refund. In exceptional circumstances, and entirely at our discretion, we may offer a credit toward a future Heart of Santosha event.

4. How to Cancel
To cancel your booking, please contact us as soon as possible via WhatsApp or through our website contact form. The date of your initial message to us is the date used to determine your refund eligibility.
We will confirm your cancellation in writing and process any applicable refund within 14 business days to the original payment method.
5. Transfers & Substitutions
If you can no longer attend, you are welcome to transfer your spot to another person free of charge, provided you notify us at least one week before the event. Please contact us to arrange the transfer and provide the new participant's details.
Bookings may not be transferred to a different event without our agreement.
6. Cancellations or Changes by Heart of Santosha
We take our commitments seriously. In the rare event that we must cancel an event or make significant changes to the programme, dates, or location, we will notify you as early as possible and offer:
• A full refund of all amounts paid, including the deposit, or
• The option to transfer your booking to another event at no extra charge
We are not liable for any independently incurred costs such as flights, accommodation, travel visas, or other expenses. We strongly recommend purchasing travel insurance that includes cancellation coverage for any amounts you cannot recover.
7. Digital Products & Services
For any digital products, recordings, online courses, or downloadable content offered by Heart of Santosha, all sales are final once access has been granted, as these are non-returnable by nature. If you experience a technical issue preventing access, please contact us and we will do everything we can to help.
8. Force Majeure
In the event of circumstances beyond our reasonable control — including but not limited to natural disasters, pandemics, government travel restrictions, or venue closures — Heart of Santosha reserves the right to cancel or postpone an event. In such cases, we will offer participants the choice of a full refund or a credit/transfer to a future event. We will not be liable for any additional losses incurred.
9. A Note on Exceptional Circumstances
We know that life is unpredictable. If you are facing a genuine emergency and need to cancel outside our standard policy window, please contact us before cancelling. We can't always make exceptions, but we will always listen, and we will always try to find the most compassionate and practical solution we can.
